Job Description

Headquarters based in Auckland NZ, we have an exciting opportunity available for an energetic and proactive administrator with exceptional organisational and coordination skills to join our Service team.

You would be reporting to the Service Manager, the candidate will be expected to manage across a spectrum of tasks. You will be required to work with minimum supervision.

Service Tasks (SAP):

  • Schedule work with the Customer and the Service Technicians
  • Time sheet maintenance and book onto jobs
  • Confirmation with customer regarding service reports, job costing, quotes etc. before invoicing
  • Open service jobs, job costing, invoicing
  • Arrange for purchase orders from Customers
  • WIP maintenance
  • Quote customers - labour and parts
  • Arrange for quotes and order parts.

General Administration:

  • Travel management
  • Schedule vehicle maintenance and inspections for mine site compliance
  • Liaise with Accounts receivable, payable and procurement as required
  • Arrange purchase orders and inspections to comply with HSE requirements
  • Maintain MSD files
  • Maintain site inductions, drug & alcohol & medical schedules

General administration and support tasks

Qualifications

The Successful Candidate will have:

  • Analytical / Problem solving skills
  • SAP experience
  • High focus on Quality and attention to detail
  • Effective communication skills
  • Conversant in Microsoft office applications
  • Highly organised and the ability to prioritise work
  • Previous experience in an administrative role preferably within a service department
